Position Description
The Office of Medical Development and Alumni Relations is currently seeking an Executive Assistant to provide advanced, diversified, and confidential secretarial and administrative support to the Assistant Vice President for Medical Development and Alumni Relations. The individual will have significant interaction with UM and Health System leaders, high-profile individuals, major benefactors to the University of Michigan and distinguished friends of the University of Michigan. The assistant must be highly competent, motivated and profoundly dedicated to advancing philanthropy at the University of Michigan Health System.
Characteristic Duties and Responsibilities
*Maintain complex calendar for Assistant Vice President for Medical Development and Alumni Relations using discretion and prioritizing the schedule accordingly. Maintain calendars of other staff as assigned
*Coordinate travel arrangements, including scheduling airline and hotel reservations, and registration for meetings/conferences, and dining reservations for donor engagements.
*Prepare travel and hosting expense reports while ensuring compliance with University regulations.
*Screen, prioritize and route all written and electronic correspondence, phone calls, and outside requests as representative of the AVP for Medical Development and Alumni Relations; direct matters to appropriate individuals for action or follow-up.
*Prepare high-level internal and external correspondence.
*Create powerful presentation documents by reviewing meeting discussions, reviewing background information and discerning key information.
*Generate reports and ad hoc queries from internal databases. Prepare reports and summarize information for presentations
*Provide highly responsible staff support to committees and teams as assigned.
*Provide management of specific development related projects and initiatives for the Assistant Vice President for Medical Development and Alumni Relations.
*Function as the representative of the AVP for Medical Development and Alumni Relations.
*Utilize assistance of one or more administrative assistants on a project basis.
*Possible functional supervision of other staff, prioritize and manage workflow.
*Other duties as assigned.
Required Qualifications
*More than 5 years of progressively responsible secretarial and administrative experience.
*Excellent skills in the use of the Microsoft Office Suite (Word, PowerPoint, Excel, etc.).
*Excellent proofreading skills.
*Must be a self-motivated, highly dependable independent worker with the ability to efficiently and effectively prioritize work and problem solve without direct supervision.
*Excellent organizational skills.
*Exceptional verbal and written skills.
*Ability to demonstrate comprehensive knowledge of the University of Michigan and the UM Health System organizational structure, culture, operations and procedures.
*Ability to manage multiple projects and priorities and meet challenging and changing deadlines.
*Strong commitment to philanthropy at the UM Health System.
*Discretion and the ability to interact with top-tier donors while maintaining a high level of confidentiality.
*Ability to work effectively with frequent interruptions.
*Demonstrated ability to develop good working relationships with internal and external constituency groups and to work collaboratively with colleagues in a team environment.
*Superb attention to detail.
*Ability to work flexible hours with occasional weekend and evening work as necessary.
Preferred Qualifications
*Possess excellent technical, written, oral and interpersonal skills.
*Proficient in computer software programs (Microsoft Word, Excel, Power Point, Outlook, Visio).
*Bachelor's degree or equivalent highly desired.
*More than 8 years of progressively responsible secretarial and administrative experience preferred.
*Previous experience working in a philanthropic environment.
